PROJCT WORK and ROLE PLAY

1. Project work: Types of behavior at Business meetings

Look at the following examples of behavior that a chairperson might have to deal with in a meeting. Which situation(s) should the chairperson deal with most urgently? Compare your ideas with your partners. Discuss what strategies the chairperson could use in each situation. Work in Groups. Use Appendix.

ü A participant looks bored and is not contributing to the discussion.

ü Every time anyone makes a suggestion, one participant responds with a negative comment. They say why an idea won’t work, but don’t make any positive suggestions.

ü Two participants keep having private, whispered discussions during the meeting.

ü A participant doesn’t want to listen to anyone else’s ideas. They keep interrupting and try to dominate any topic discussed.

ü A participant is not very willing to give an opinion.

ü A participant keeps introducing irrelevant topics to the discussion.

2. The function of a chairperson

a) In some cultures the main role of the chairperson is to control the meeting. This may include sticking to an agenda, keeping order and making sure that the meeting does not overrun. In other cultures the function of the chairperson might be to encourage participation and agreement. What is the main function of a chairperson in meetings in Russia?

 

Consensus-oriented Results- oriented
In difficult situations the chairperson ay focus on compromise and mediation. The chairperson may define their role as that of helping to achieve agreement or consensus. In difficult situations the chairperson may attempt to control the meeting and use formal rules to keep order. The chairperson may define their role as that of helping to achieve objectives or decide on a series of action points. that of helping to achieve objectives or consensus.

 

b) Hold the meeting using special vocabulary for chairing a meeting from APPENDIX V.

You have to deal with different types of people. Match each of the situations 1-5with two of the phrases a-h that the chairperson uses to deal with them. Listen again and check your answers.

3. Dealing with difficult people

Look at the suggestions below for dealing with difficult situations and choose the response that you think would work best.

- Help calm a difficult situation by acknowledging how the person feels:

a) You’re obviously pretty angry about this;

b) I can see that you feel strongly about this.

- Try to find out why the person is being difficult:

a) Can you explain why you feel this way?

b) Why are you being unreasonable?

- Show that you understand:

a) I can sympathize with your concerns;

b) I realize why you’re panicking about this.

- Encourage quiet participants when they contribute, even if you don’t agree with their ideas.

a) Thanks for your suggestion, but you really need to think it through a bit more;

b) I think the basic idea is good, but perhaps we could discuss some of the details.

- Be firm if people try to use the meeting to speak about personal grievances.

a) This isn’t the best place to discuss this;

b) Leave your personal differences out of this.

 

4. Role Play: Deal with people effectively

1) You are going to role-play four short meetings. For each meeting, read the situation and objective below.

Meeting 1 Situation: Your company manufactures a car which has always been popular with older consumers and families because the brand image is safe and reliable. For the last two years there has been a steady decline in market share. Objective: Discuss whether to stay with your current consumers or create a new brand image to appeal to another segment of the market. Meeting 2 Situation: Your company is sponsoring a new magazine aimed at businesspeople that are learning English. You are on the committee liaising with the publishers.   Objective: Think of five subjects for articles to suggest to the publisher for the first edition of the magazine.  
Meeting 3 Situation: Your company manufactures camping and outdoor adventure equipment. A mistake by the purchasing department means that you now have a large quantity of waterproof material that is surplus to requirements. It is not possible to return the material to the supplier. Objective: Brainstorm ways that you could put the material to use. Meeting 4 Situation: Your company has invested a lot of money creating a brand identity for a new toothpaste. An employee has just discovered that the product name sounds like the word toothache in the language of one country where you plan to market the toothpaste.   Objective: Discuss possible ways to approach the problem.

 

You are a chairperson for one of the meetings and a participant for the other three. When you are the chairperson, start the meeting by outlining the objective. During the meeting, try to make sure that everyone has a chance to participate and deal with any negative tactics that participants use.

 

Student A Meeting 1: You are the chairperson. Deal with any difficult situations or people. Meeting 2: You are a participant. You are bored and do not want to participate. Meeting 3: You are a participant. Be negative about other people’s suggestions. Meeting 4: You are a participant. Respond normally and give your own opinions. Student B Meeting 1: You are a participant. Respond normally and give your own opinions. Meeting 2: You are a chairperson. Deal with any difficult situations or people. Meeting 3: You are a participant. Try to dominate the meeting. Meeting 4: You are a participant. You are bored and do not want to participate.
Student C Meeting 1: You are a participant. Try to introduce irrelevant topics. Meeting 2: You are a participant. Respond normally and give your own opinions. Meeting 3: You are the chairperson. Deal with any difficult situations or people. Meeting 4: You are a participant. You feel negative and don’t want to be at the meeting because you have a lot of work to do. Student D Meeting 1: You are a participant. Try to start a whispered conversation with someone on another topic. Meeting 2: You are a participant. Be negative about other people’s suggestions. Meeting 3: You are a participant. Respond normally and give your own opinions. Meeting 4: You are the chairperson. Deal with any difficult situations or people.

 

2) Discuss the results of the role play in the group in a form of discussion. Answer the questions:

2. Do you think you’ve coped with your tasks?

3. Can you evaluate the other group?

4. What mark would you give them?
